Sooners on Scholarships is an annual workshop that is hosted by the Gallogly College of Engineering to help our students write thank you letters to our generous donors.  This workshop provides an opportunity for students who have received a scholarship from our college  to write thank you letters to our donors and have those letters edited by our staff.

If you have received a Gallogly College of Engineering scholarship or an engineering department scholarship, you are required to participate in the Sooners on Scholarships workshop.
 

General Information & Expectations
 

  • Sooners on Scholarships is a three-step process where students write a thank you card for donors that provide the funds for their scholarship awards.  This workshop occurs during the Fall 2024 semester.
  • All students that receive an engineering scholarship from the college or one of its academic departments are required to participate.
  • Students are required to submit a draft of their thank you card by the posted due date (Friday, August 23, 11:59PM).
  • Students will be notified if their submission needs further editing or if it is ready to go.
  • Students will then attend a in-person come-and-go event where they will handwrite their letters and submit them to our staff for mailing.
    • If further editing is needed, students will meet with an editor in-person to go over their letter prior to getting a post card to write on.

Details for each phase are listed below.

Students will submit their draft to the Sooners on Scholarship Letter Draft Qualtrics Form no later than Friday, August 25 at 11:59 pm.

  • Each scholarship that is part of Sooners of Scholarships requires at least one handwritten postcard. 
  • You are allowed to use the same letter for all your scholarships, but you can personalize your letter to each scholarship donor.
  • Students are notified of their required participation in the workshop via their scholarship offer letters.
    • Students are provided a link to the Qualtrics Form for Letter Drafts.
    • Information about the specific name of the scholarship, donor name(s), and more details about the workshop will be emailed in the Fall.
  • Students are expected to draft a paragraph (approximately three to five sentences) to your scholarship donor(s).  The content of the letter is completely up to you, but keep the following in mind while writing:
    • Your letter will need to fit on the back of a 8..5" x 5.5". postcard.  Please be mindful of the size of your handwriting.
    • Your letter should express the possibilities and opportunities this scholarship has provided and share your gratitude to your donor.
    • Your postcard should be professional and you should be comfortable with a potential employer or mentor reading it.

Once submitted, you will need to await further guidance from coescholarships@ou.edu.

Once your letter is submitted, our editors will read your letters and correct minor grammatical, spelling, and formating errors.
 

  • If your letter does not require further editing, you will be notified and will be able to handwrite you letter on a provided postcard in the come-and-go workshop in Phase 3.  You will receive a copy of your edited draft for your own records.
 
  • However, if your letter requires further editing,your will be notified of what edits need to be made and you will need to have your letter rechecked by an editor during the come-and-go workshop in Phase 3.  You will receive a copy of your draft with editor comments so you can work on your letter before the workshop date.

Writing Workshop Dates

September 23 - September 26

Students will attend one of the Sooners on Scholarship Writing Workshop days.  These are come-and-go events where students will handwrite their letter on a provided postcard and receive further editing if needed.  The process will work as follows:

  1. Prior to the in-person writing workshop, students will be asked to signup for a timeslot for their writing session.  A link to the signup will be provided with your edited letters.
    • Students will receive confirmation after signing up for a timeslot.
  2. At their reserved session, students will check-in with staff at the Check-In Station.  Students will receive the recipient name(s) at check-in.
    • Students with letters ready to go, will receive their postcards and be able to work immediately.
    • Students in need of further editing will be asked to go to the editors to have their letter rechecked.  Editors will provide students postcards if they go to the editing station.
  3. Students will handwrite their letter on the postcard.  Please keep in mind the following:
    • Greet your donor at the top.  You will be given recipient name(s) at check-in.
    • Write legibly and large enough to be read by your donor.
    • Print and sign your name at the bottom.  You are welcome to add your email address if you would like.
  4. Students will turn in their completed postcard to the Check-Out Station.  Staff will collect your letter, check for legibility, signature, closing, salutations, and that your recipient is correct.  Once approved, we will attach the proper address to your postcard and sort them for mailing after the workshop ends.

Frequently Asked Questions

This workshop has a virtual and in-person component.  Students will need to submit their letter drafts for Sooners on Scholarship by Friday, August 23 at 11:59pm. 

The in-person component will be a come-and-go event hosted in the Engineering Quad.  The times and days for these sessions is not yet finalized.  Please check your email in the Fall for dates and times.

If you received a scholarship from the Gallogly College of Engineering or one of its academic departments, you will receive an offer letter detailing the requirements of your scholarship and a link the Letter Draft Qualtrics Form.  If for some reason, you do not receive an email, but you still received an engineering scholarship, you are still expected to attend the workshop.

If you received a non-engineering scholarship, you do not need to attend this workshop, but you might need to fulfill another requirement outside of this workshop.  You should contact the appropriate organization or department for more information.

All students that receive an engineering scholarship are required by the college to write thank you letters to our donors.  If you fail to do this, you will lose your spring disbursement(s) from your scholarship.

Given the letter length and virtual nature of Step 1, all students are required to submit a letter draft by the due date (Friday, August 23 at 11:59pm).

 

Information about the status of your letter drafts will be sent to your via email.  Please check regularly for emails from our team.

If for some reason you do not receive an email by Mid- September, you should email coescholarships@ou.edu.

No.  All writing workshop sessions are come and go with students scheduling a time slot they plan to come to the workshop.  All students are required to complete their postcard during their scheduled time at the workshop area.

There is no template for your letter, however we do ask all students to keep the following in mind when writing their letter drafts:

  • Drafts needs to be a paragraph long, approximately three to five sentences.
    • It will need to fit on the back of an 8.5" x 5.5" postcard.
  • Drafts should express gratitude to your donor and reflect on the possibilities and opportunities this award has provided.
  • Drafts should be professional and you should be comfortable with a potential employer or mentor reading it.

You can use the same draft for all scholarship awards, however all students are welcome to customize each letter as they deem appropriate.

Please double check that your handwritten postcards have the correct scholarship name and recipient before submitting them if using the same draft for each letter.

You will not need to submit a photo with your thank you letter.

If you have received multiple scholarships, you may be required to write multiple thank you letters.  This happens if your awards come from different funds or if your specific award has multiple donors responsible for the fund.  Your workshop emai in the Falll should include the name of each scholarship you are receiving.

Even if you are an excellent writer, we require all students to go through the entire workshop and submit their draft to editing by the deadline.  It never hurts to have a fresh pair of eyes read your draft, give constructive feedback, and help improve your letter.
