FERPA Proxy Management & Access

Students can grant parents or legal guardians view-only access to select pages of their student education records via the Add FERPA Authorized User link in One.ou.edu; the link is available on the Resources tab and under “Actions” on the Academics tab. Granting view-only access to selected information also grants the University the right to discuss that information with the parent or legal guardian added as a proxy. Students can edit or delete a proxy at any time.

If students want to give OU permission to discuss their education record information with their parent or guardian or another third party but do NOT want to give them direct access to the student’s records, students can submit the Student Permission to Release Education Record Information Form. If the student wishes to give their parent or legal guardian access to their Bursar bill, they may add them as an Authorized User. The student should log into their One account, go to the “Financial” tab, and click the “Add authorized users” link. Instructions to add an authorized user are available on the Bursar’s website.

Adding A Proxy

To add a parent or legal guardian as a proxy, log into the Proxy Management system and select “Add New.”

Enter the proxy’s name, email address, and relationship to you. At this time, we only offer proxy access to parents or legal guardians. You must also select the start and end date for the access – by default, this is set to 1 year, but you can extend the end date if you choose.

Next, you will enter a description of your relationship with and a passphrase for your proxy. This information will be used to verify your proxy’s identity when they contact OU. NOTE: You must communicate this passphrase with your proxy; they will use this passphrase to verify their identity when speaking with OU.

Next, you must select the types of information you want your proxy to be able to access. “Academic Transcript” gives access to your unofficial transcript. “Student Profile” gives access to your profile information, including degree programs, GPA, enrollment, and other information. “Student Grades by Term” gives access to your grades by term. “Weekly Schedule” gives access to your week at a glance class schedule.

Editing and Deleting Proxies

You can edit or delete a proxy’s access at any time by navigating to the Proxy Management system and clicking the edit or delete icons. If you select the delete icon, you will be prompted to confirm or cancel the deletion of your proxy.

In the edit screen, you can change:

  • The start and end date of your proxy’s access
  • The description of your relationship with your proxy
  • Your proxy’s passcode which they will use to verify their identity when communicating with OU
  • The information your proxy is authorized to access

You can also change your proxy’s password, resend the passphrase, and resend the list of authorizations to your proxy in the edit screen.

Proxy Activation & Access to Records

When you add a proxy, they will receive two emails – one with a link to verify their identity, titled "New Proxy Identity," and one with a temporary password, titled "New Proxy Confirmation." The proxy must click the link in the "New Proxy Identity" email and enter the temporary password from the "New Proxy Confirmation" email.

These are used together to verify that you are an intended recipient. You will also use the password for the Initial Password on the following page when establishing your new password."

Next, they will be taken to a page where they will enter their email and temporary password, then set a new password.

After setting a new password, the proxy is activated and can log in. They can access the proxy system at any time by navigating to the Proxy Access page. After logging in, the proxy can update their profile information by clicking “Your Profile Information” and can access the student’s information by clicking the drop-down and selecting the information they wish to view.
