Instructions for On-Campus Employment Offer Letter

For Employers:

According to Social Security Administration guidelines, the letter must be typed or written on official employer letterhead and must include all of the following:

  • Student name
  • Description of the employment
  • Employment start date
  • Number of hours per week the student is expected to work
  • Employer identity number (EIN)
  • Employer's telephone number
  • Student's immediate supervisor
  • Employer's original signature with title and date

For Students:

Graduate Assistants (GA, TA, RA)

Your assistantship offer letter can serve as your employment offer letter. Check that the letter includes all items listed under "Employer Guidelines."

Other on-campus employment

Please have your department follow the template below.

Off campus employment

You must receive off campus employment authorization first. Provide a letter from your employer offering you a position within the company.
