Policies

Youth Protection

The University of Oklahoma has numerous campus locations and a variety of events that attract minors, whether sponsored by the University or by third parties. This policy is meant to serve as expectations for these valuable experiences. The Policy covers both In-person and Virtual programs. Please note, this policy may not encompass each and every encounter with a minor and should be flexible depending on the circumstances and with the approval of either a supervisor in charge of the area or facility or by the Risk Management Department in coordination with the Office of Legal Counsel.

All Youth Protection events must be reported to Enterprise Risk Management. Once your event information is received, a team member will determine the trainings and forms needed and will contact you with required compliance to meet the Youth Protection policies.

Youth Protection training for OU employees and students is now self-enroll and can be taken online through the OnPoint Library under the Risk Management Training topic. Reporting your Event will help the team determine what training is needed. Training for employee/student found at OnPoint Website

However, if you are required to take the training on an annual basis by your department, then you can request an ePAF by contacting your HR/Payroll coordinator for your department.

Youth Protection training for non-university, third-party youth supervisors can be taken in a self-guided pdf packet with a signed completion acknowledgement form. Reporting your Event will help the team determine what training is needed. Training for non-university, third-party: Training for Non-University – Third Party Entities (pdf)

Clery Act

The Clery Act is a federal law requiring colleges and universities that receive federal financial aid to disclose certain crime statistics and policies regarding safety and security programs to the campus community on an annual basis. Any crimes witnessed by you or reported to you must be reported to the University of Oklahoma Police Department (OUPD). The OUPD is responsible for compiling and providing information to meet our requirements under the Clery Act.

University youth supervisors may need to take additional training to become CSA's depending on the specifics of your event. As with the training and forms, Reporting Your Event will help the team determine if CSA training will need to be assigned to your staff.

Third-party youth supervisors working with Youth Protection have the same obligations. It is your responsibility to make sure all members of your group are aware of this obligation and to familiarize themselves with responsibilities and reporting links noted below:
